Commerce Student Computer Laboratories

Printing Help

This web page explains how to print documents in the Commerce Student Computer Laboratories. Your default printer is assigned at login time; you will see one of the following screens depending on whether you have any remaining print quota on the old Commerce Student Computer Laboratories’ printing system. Figure 1 shows the screen you see during Log-On if you have no print quota left on the old print system, or you have never had an account on the old print system. If you see this screen you will be connected to the printer that is in the laboratory you are sitting in, and you will be using your pre-paid print quota using the Bear Solutions laser-printing and photocopying system.

Figure 1: This screen connects you to the laser printer in your current laboratory

The Close button continues the Log-On process and sets the default printer to the one in your current laboratory. The Help button displays this web page.  If you do not click on the Close button you will not have access to any applications.

If you see the following screen (Figure 2) at Log-On time you have quota remaining on the old Commerce Student Computer Laboratories Printing System (prior to 2007).

Figure 2: This screen allows you to select which printing system to use if you have remaining quota on old Commerce Student Computer Laboratories Printing System. This screen also shows the amount of remaining quota on the old printing system.

If you click on the top button your default printer becomes the printer situated in the laboratory office and any printing will be deducted from your print quota on the old system. Clicking on the middle button will set the default printer to the one situated in your current laboratory, and your print quota will be deducted from your pre-paid Bear Solutions print quota. Clicking on the Help button will display this web page.

Click on the links below to get more information on printing using either system.

Printing Using the Bear Solutions Printing System

After Logging-In you will be assigned to the Bear Solutions Printing system if you have no quota on the old Commerce Student Computer Laboratories Printing System (Figure 1) or you select the middle button during the Log-In process (Figure 2) when you have remaining quota on the old Commerce Student Computer Laboratories Printing System. The Bear Solutions Printing System prints to the printer in the current laboratory

Since this printer is set by default during the Log-In process there is no need for printer selection to print a document. Just print the document using the appropriate method for the software you are using. After the software has sent the document to the printer queue the following dialog box is displayed on your video screen (Figure 3).

Figure 3: This dialog box appears each time you send a print job to Bear Solutions print queue.

The centre of the dialog box shows the name of the document that is to be printed; the total cost of printing the document and the name of the printer the document will be printed on.  This dialog box expects you to enter your “Card PAN”. Your “Card PAN” is either the 13 digit barcode on your student or the Card Number found on your  Bear Solutions Casual Copy Card” (Figure 4) , with the number “50435711” prefixed to your car number. So for the sample card (Figure 4) the number you enter into the “CMS/IP Client” dialog box (figure 3) becomes “5043571100000000”.

Figure 5: displays a completed “CMS/IP Client” dialog box where a student barcode has been entered as the “Card PAN”.

If you press the “Print” button the Bear Solutions Printing System will attempt to verify your printing account status, it will either display a dialog box prompting you for your PIN code (Figure 6) to print the document shown in the dialog box, or it will display an error message if your printing account can not be verified.

If you press the “Cancel” button your job will be deleted from the print queue.

Figure 6: Bear Solution printing system is waiting for you to verify your identity by entering your private PIN number.

The dialog box in Figure 5 is only displayed for a short period of time, so you need to be quick to enter your PIN and click on the OK button. The cancel button closes this dialog but does not delete your print job. If your PIN number is correct, the Bear Solutions printing system will ask you to confirm the printing of the document and give you your remaining quota if you proceed with the printing of the document (Figure 7).

If you click the “Yes” button of Figure 6, your print job will be sent to the printer in the laboratory you are currently in. Pressing the “No” button will cancel the printing but it will not remove the job from the print queue.

Printing Using the old Commerce Student Computer Laboratories Printing System

After Logging-In you will be assigned to the old Commerce Student Computer Laboratories Printing System if you select the top button during the Log-In process (Figure 2) when you have remaining quota on the old Commerce Student Computer Laboratories Printing System. The old Commerce Student Computer Laboratories Printing System prints to the printer in the computer laboratory office.

Since this printer is set by default during the Log-In process there is no need for printer selection to print a document. Just print the document using the appropriate method for the software you are using. After the software has sent the document to the printer queue you will need to release the job, you may have to wait up to one minute while the print server calculates the number of pages and the owner of the print job(s).  You need to wait until your print jobs are display a “Hold” status on the “Print Job Release” program. To release a print job on the old Commerce Student Computer Laboratories Printing System you must run the “Print Job Release” program in the Printing Folder on the application launcher (Figure 8).

The “Print Job Release” program displays all the print jobs that are currently waiting on the print queue to be printed (Figure 9).

You can select up to 10 jobs at a time to print at a time. All select jobs must belong to the same student number. The instructions for selecting print jobs are displayed on the bottom part of the Print Job Release program.

After you have selected the jobs you want printed, click on the print button and the program will display the following dialog box (Figure 10), which displays the student number of the person who sent the print job and the total number of pages that are to be printed.

Figure 10: Confirmation of printing the selected print jobs.

If you click on the “Yes” button you will be prompted for your email password to confirm your identity and confirm that you want to go ahead with the printing of the document (Figure 11).

Figure 11: Enter your email password to confirm the printing of the selected documents.

If there are insufficient pages remaining to print the documents, an error dialog will appear and the print jobs will not be released. If you have insufficient pages, you will have to reprint the jobs to the Bear Systems after you log-out and log-in again. The old Commerce Student Computer Laboratories Printing System is no longer accepting money for new print quota, you will have to use the Bear Solutions printing system in order to print your documents.

After the Print Job Release program has confirmed that you have sufficient print quota, a dialog box is displayed to show you your updated remaining quota (figure 12).

Figure 12: Confirmation of printing and updated page count

Once your jobs have been released, they are marked as “Released” status in the Print Job Release program (Figure 13).

Figure 13: The Print Job Release program shows 2 print jobs that have been released for printing.

At this point, you need to go to the laboratory office to have your jobs printed and to collect them.

The Print Job Release program has two other functions for you to use, you may delete print jobs you no longer want or to see how many pages you have left on the old Commerce Student Computer Laboratories Printing System.

To delete print jobs you need to select the jobs you want to print and click on the Delete button. The program responds by displaying a dialog box asking to confirm the deletion of the selected print job(s) (Figure 14).

After confirming the deletion of the selected documents, you will need to confirm your identity by entering your email password (Figure 15).

The old Commerce Student Computer Laboratories Printing System does not let use delete jobs that are mark as “Released”

To see how many pages you have remaining click on the “Remaining Pages” button and then enter your student number and email password in the dialog box that is displayed (Figure 16).

After your credentials have been confirmed, a dialog box is displayed showing your remaining print quota on the Commerce Student Computer Laboratories Printing System (Figure 17).
